Zeteo Pilates Retreat – Terms & Conditions 


1.   Booking

A booking is confirmed only upon receipt of a deposit .

Full payment must be received no later than five (5) weeks prior to the retreat start date. If full payment is not received by this deadline, we reserve the right to cancel the booking and retain the deposit.

We do not store card payment details. Payment data is processed securely via third-party providers and is not shared with us beyond what is necessary to confirm payment.


2. Payment

All prices are stated in Euros (€).

Participants are responsible for all bank charges, transfer fees, and currency conversion costs. The amount received by us must equal the full advertised price.


3. Travel

All travel arrangements, including flights, certain transfers, visas, and related costs, are the sole responsibility of the participant.

Unless explicitly stated in writing, transfers to and from the retreat location are not included.

We accept no liability for travel delays, cancellations, missed connections, or issues relating to travel documentation, including visas and passports.


4. Travel Insurance

It is a strict condition of participation that all participants hold valid travel insurance covering, at minimum: retreat participation, medical expenses, cancellation, personal injury, and loss or theft of personal belongings.

We reserve the right to request proof of insurance at any time before or during the retreat. Failure to provide valid insurance may result in exclusion from the retreat without refund.

Where applicable, participants should also carry a valid European Health Insurance Card (EHIC/GHIC or equivalent).


5. Health & Safety

  • Participants must disclose any medical conditions, injuries, or relevant health concerns prior to participation.
  • Participation is at all times at the individual’s own risk. Participants must immediately cease any activity if they experience pain, discomfort, or symptoms of injury.
  • Participants are solely responsible for determining their own fitness to participate and should seek independent medical advice where necessary.
  • Pregnant participants between 12–28 weeks gestation must provide written medical clearance confirming suitability for participation. Participation is not permitted outside this range.
  • Activities may take place on uneven, natural, or unpredictable terrain. Participants are responsible for wearing appropriate clothing and footwear.
  • We are not responsible for or liable for any mental health conditions, deterioration of mental wellbeing, or psychological outcomes arising during or after participation. Participants with known mental health conditions must inform us in advance so that suitability can be assessed.
  • We reserve the right to refuse participation or remove any participant from the retreat at our sole discretion where health, safety, or group welfare is at risk. No refund will be issued in such circumstances.


6. Cancellation by Participant

Cancellations must be made in writing.

Cancellations received more than eight (8) weeks before the retreat start date will receive a refund minus the non-refundable deposit.

Cancellations received within eight (8) weeks of the start date are non-refundable and non-transferable.

No refunds will be issued for late arrival, early departure, absence, or unused services once the retreat has commenced.

We strongly recommend that all participants obtain comprehensive travel insurance covering cancellation.


7. Changes by Us

We reserve the right to make reasonable changes to the retreat, including but not limited to: accommodation, instructors, schedule, activities, and itinerary.

Where changes are necessary, we will provide a service of equivalent standard where reasonably possible.

Such changes do not constitute grounds for cancellation or refund.

Activities, excursions, and scheduling may be amended or withdrawn at short notice due to operational, weather, safety, or logistical reasons.


8. Cancellation by Us

In the unlikely event that we cancel the retreat, all monies paid will be refunded in full within ten (10) working days. This constitutes full and final liability.

We are not responsible for any additional costs incurred by the participant, including flights, accommodation, or travel expenses.


9. Liability

We provide services with reasonable care and skill.

To the fullest extent permitted by law, we accept no liability for:

  • personal injury or illness 
  • loss or damage to personal property 
  • indirect or consequential loss 
  • travel disruption or third-party services 

Participation in all activities is voluntary and undertaken entirely at the participant’s own risk.

Nothing in these terms excludes liability for death or personal injury caused by our negligence or any liability which cannot be excluded under applicable law.

 While we aim to provide a positive and rewarding experience, we cannot accept responsibility for individual enjoyment of activities or for personal expectations of the holiday experience.


10. Group Bookings

Where one individual books on behalf of others, they confirm they have authority to accept these terms on behalf of all participants.

Each participant is individually bound by these terms as if they had entered into the agreement directly.


11. Personal Belongings

Participants are solely responsible for the safety and security of their personal belongings at all times, including within accommodation, vehicles, and retreat venues.

We accept no responsibility for loss, theft, or damage to personal property.


12. Complaints During the Retreat

Any issues must be raised with the Retreat Director as soon as reasonably possible during the retreat to allow for resolution.

Failure to raise an issue during the retreat may limit our ability to address it afterwards.


13. Data Protection

We do not store payment card details.

Personal data is collected and processed solely for the purpose of administering the retreat and in accordance with applicable data protection laws (including GDPR where applicable).

We do not sell or share personal data with third parties for marketing purposes.


14. Post-Retreat Complaints

Any formal written complaint must be submitted within fourteen (14) days of the retreat end date. Complaints received after this period may not be considered.
